About the Role We are seeking a highly proactive and tech-forward Executive Assistant to partner directly with our CEO/Founders. In this role, you are not just managing calendars; you are a strategic operator who leverages Artificial Intelligence to multiply your output, protect the executive’s time, and streamline daily workflows. The ideal candidate is fully bilingual, exceptionally organized, and deeply comfortable using Generative AI tools to automate routine tasks, draft communications, and handle administrative heavy lifting in seconds instead of hours.

Key Responsibilities

• Provide high-level administrative support, including complex calendar management, scheduling, and travel arrangements.

• Act as the ultimate gatekeeper, managing the executive’s inbox and utilizing AI tools (like ChatGPT, Claude, or Gemini) to draft professional, context-aware replies and summarize long email threads.

• Coordinate meetings and utilize AI transcription tools (e.g., Otter.ai, Fireflies, Fathom) to automatically generate meeting minutes, extract action items, and ensure follow-up.

• Conduct rapid online research for special projects, using AI to synthesize large amounts of data into concise executive summaries.

• Assist with lightweight project management and CRM data entry, ensuring nothing falls through the cracks.

• Anticipate the executive’s needs and proactively deploy digital tools to solve administrative bottlenecks before they impact the team.

Required Skills & Experience

• 2-4 years of experience as an Executive Assistant, Virtual Assistant, or in a similar administrative role supporting C-level executives.

• Near-native English proficiency (C1/C2) is strictly required; exceptional written and verbal communication skills.

• Proven, daily experience using Generative AI tools (ChatGPT, Copilot) to enhance personal productivity, draft documents, and solve administrative problems.

• High technical aptitude: expert in Google Workspace / Microsoft 365, Slack, and Zoom.

• Familiarity with project management tools (Asana, ClickUp, Notion) and modern CRMs.

• Impeccable organization, extreme discretion with confidential information, and a proactive, tech-first mindset.

Requirements

• 2–4 years of experience as an Executive Assistant, Virtual Assistant, or similar role supporting C-level executives.

• Near-native English proficiency (C1/C2), with excellent written and verbal communication.

• Daily, hands-on experience using Generative AI tools (ChatGPT, Claude, Gemini, or Copilot) for productivity, drafting, research, and workflow optimization.

• Strong experience managing executive calendars, inboxes, meetings, and travel arrangements.

• Advanced proficiency in Google Workspace and/or Microsoft 365, Slack, and Zoom.

• Experience with meeting transcription, summaries, and action-item tracking.

• Strong organization, discretion, problem-solving, and proactive communication skills.

• Experience with Asana, ClickUp, Notion, or similar project management tools.

• Familiarity with AI meeting assistants: Otter.ai, Fireflies, or Fathom.

• CRM experience and administrative workflow automation.

• Previous experience supporting CEOs, Founders, or international executives.
