Our client is a dynamic construction and real estate development firm engaged in new construction development, select commercial projects, and ongoing land acquisition. Their current portfolio includes a multi-year, large-scale townhome development and commercial partnerships with international development entities. Operating with a lean internal core backed by a broad network of subcontractors and vendors, leadership is seeking dedicated support as the organization scales across active developments and markets.

💼 About the Role

You will serve as the strategic right-hand to the senior leader, taking immediate ownership of AI-driven workflows across research, deal evaluation, financial administration, and day-to-day executive support. In this role, you will liberate leadership time by screening communications, managing calendars, and serving as the primary point of contact for vendor and subcontractor networks. As trust is established, your role will expand to building financial dashboards, developing SOPs, and managing light website updates.

🎯 Key Responsibilities

• AI Workflow Ownership: Take full ownership of existing AI tools to conduct property/zoning research, retrieve permitting data, and support deal evaluations.

• Deal Evaluation & Dashboards: Build and maintain complex spreadsheets and reporting dashboards to consolidate financial data for executive investment decisions.

• Financial Administration: Prepare and manage invoicing via QuickBooks while maintaining accurate financial documentation.

• Inbox & Calendar Management: Prioritize executive schedules, manage calendars, and summarize incoming messages and emails.

• Vendor & Subcontractor Gatekeeping: Act as the primary, professional gatekeeper for vendor, subcontractor, and contractor communications, resolving matters independently where possible.

• Website Maintenance & SOP Development: Handle light updates to the company website and document clear Standard Operating Procedures (SOPs) for all key workflows.

✅ Qualifications & Skills

⭐ Core Requirements:

• EA Experience: 3–5+ years supporting a CEO, founder, or senior C-suite executive (preferably within Construction, Real Estate, or Development).

• Bilingual Mastery: Professional fluency in both spoken and written English and Spanish (C1+ equivalent) with comfortable phone presence for high-volume calls with contractors.

• High Accountability & Ownership: Strong personal accountability—taking ownership of mistakes proactively and presenting solutions immediately without waiting for detailed instructions.

• AI Tooling & Tech Stack: Proven experience leveraging AI tools (e.g., Claude, ChatGPT) for research, writing, and workflow automation. Familiarity with QuickBooks, BuilderTrend, Cintra, Zillow data tools, Google Calendar, and website CMS tools.

• Strategic Autonomy: Ability to act as a self-sufficient thinking partner capable of managing complex administrative and operational functions independently.

• Setup & Infrastructure: Dedicated quiet workspace, high-speed reliable internet connection, and a reliable laptop/computer setup.
