The company is looking to strengthen its HR operations by implementing and maintaining reliable systems for employee administration, payroll, benefits, time tracking, and HR policy management.
About the Role
We are seeking an experienced HR Operations Specialist with strong, hands-on expertise in Rippling to lead its setup and support ongoing HR administration for a U.S.-based, multi-location business.
This is a hands-on operational role that combines HR administration, HRIS implementation, payroll and benefits coordination, multi-state policy configuration, and employee support.
The ideal candidate has already implemented and managed Rippling, understands U.S. HR operations, and can independently coordinate with employees, managers, and other stakeholders to ensure accurate and efficient HR processes.

What You'll Do
Rippling Implementation & HRIS Management

• Lead the setup and ongoing administration of Rippling.

• Configure new entities and locations, employee data imports, job codes, and onboarding processes.

• Support the setup and maintenance of payroll, benefits, and state employer/tax IDs.

• Maintain accurate employee records and update compensation and job levels as needed.

• Identify opportunities to improve HR workflows and system efficiency.

HR Operations & Employee Administration

• Manage onboarding and offboarding for full-time and part-time U.S. employees.

• Prepare offer letters and employment agreements.

• Maintain employee records and ensure information is accurate and up to date.

• Support employees and managers with HR-related administrative requests.

• Follow up independently to ensure outstanding tasks and requests are completed.

Multi-State Policies & Compliance Administration

• Set up and maintain HR policies across multiple U.S. states, including PTO, sick leave, overtime, and breaks.

• Configure policies and employee acknowledgments in Rippling.

• Support consistent implementation of company policies across locations.

• Coordinate updates to employee information and HR documentation.

Time Tracking & Payroll Coordination

• Implement and manage clock-in/clock-out and time-tracking processes in Rippling.

• Configure timecard approval workflows and follow up on missing timecards.

• Support the integration of time tracking with payroll.

• Train employees and managers on time-tracking procedures.

• Assist with payroll-related questions and administrative issues.

General Operations Support

• Assist with vendor and bill transfers.

• Respond to employees' HR and payroll questions.

• Help location managers resolve administrative issues.

• Coordinate with internal stakeholders to maintain efficient day-to-day operations.

Qualifications
Required Qualifications

• 5+ years of HR Operations experience supporting U.S. employees.

• Strong hands-on experience implementing and managing Rippling.

• Experience configuring new entities, locations, employee records, payroll, benefits, job codes, and onboarding workflows in Rippling.

• Experience administering HR processes for both full-time and part-time U.S. employees.

• Experience preparing offer letters and employment agreements and maintaining employee records.

• Experience setting up multi-state HR policies, including PTO, sick leave, overtime, and breaks.

• Experience implementing and managing time tracking, timecard approvals, and payroll integration in Rippling.

• Ability to train managers and employees on HR processes and systems.

• Fluent written and spoken English.

• Excellent attention to detail, organization, and follow-through.

• High level of integrity, professionalism, and ability to manage responsibilities independently.

Preferred Qualifications

• Experience supporting multi-location U.S. businesses.

• Experience coordinating HR administration with location managers.

• Experience supporting vendor administration and other general operational processes.

• Experience improving or streamlining HR workflows.
