Marketing & Administrative Assistant

We are recruiting on behalf of a growing music education academy in the Bay Area that is looking for a versatile, proactive Marketing & Administrative Assistant to join its remote team.

This is a hybrid role combining social media, email marketing, paid advertising support, and general administrative assistance.

The academy is looking for someone who can execute consistently, take ownership of the day-to-day marketing workload, and provide reliable administrative support to the existing team.

There is also an opportunity for the right candidate to contribute more strategically, particularly around brand identity and positioning, if you have the experience and creative thinking to do so.

Key Responsibilities

Social Media & Content

• Create and publish social media content using existing photos, videos, and other provided assets

• Repurpose existing content into engaging social posts

• Write captions and supporting copy

• Maintain a consistent posting schedule

• Manage and organize social media content calendars

• Monitor engagement and identify opportunities to improve content performance

• Help maintain a consistent and recognizable brand presence across platforms

Email Marketing

• Create, schedule, and send email campaigns through Mailchimp

• Manage email lists and basic audience segmentation

• Assist with promotional and educational email campaigns

• Repurpose existing content into email marketing

• Monitor campaign performance and make recommendations for improvement

• Ensure email communications are accurate, timely, and aligned with the academy's brand

Paid Advertising

• Support the management and execution of paid advertising campaigns

• Assist with campaign setup, creative coordination, and ongoing monitoring

• Track basic campaign performance and identify underperforming campaigns

• Help test different creative, messaging, and audience approaches

• Work with the team to improve lead generation and enrollment opportunities

Administrative Support

• Answer inbound calls and provide general support

• Leave voicemails and follow up with prospective customers when required

• Assist with general remote administrative tasks

• Provide backup support to the existing administrative team

• Help ensure important tasks and communications don't fall through the cracks

• Support basic coordination across the business when needed

Strategic Opportunity

While this is primarily an execution-focused role, the client is open to someone with stronger marketing and brand experience who can bring ideas to the table.

If you have experience with brand strategy, positioning, creative direction, or audience development, there may be an opportunity to help strengthen and evolve the academy's brand identity over time.

We're therefore open to candidates who can do more than simply follow a content calendar—they should be able to recognize opportunities and make thoughtful recommendations.

What We're Looking For

• 2+ years of experience in digital marketing, social media, content marketing, or a similar role

• Experience creating and managing social media content

• Experience with email marketing, particularly Mailchimp

• Understanding of paid social advertising and campaign management

• Strong written English and excellent communication skills

• Good eye for content, branding, and presentation

• Highly organized and able to manage multiple priorities

• Comfortable working independently in a remote environment

• Proactive and willing to take ownership

• Reliable with strong attention to detail

• Comfortable handling administrative and customer-facing responsibilities

Ideal Candidate

The ideal candidate is a creative doer.

We're looking for someone who enjoys executing campaigns, creating content, managing email and social channels, and making sure things actually get done.

You should be comfortable working from existing assets and instructions, but also confident enough to say:

"I think we could do this better—here's what I'd recommend."

A genuine interest in music, education, creative industries, or youth development would be a bonus, but is not essential.

• Social media is consistently active and engaging

• Email campaigns are executed accurately and on schedule

• Paid campaigns are properly supported and monitored

• Marketing tasks no longer pile up on the existing team

• Inbound calls and basic customer support are handled reliably

• The academy has consistent marketing execution without needing to constantly manage the assistant

• The assistant begins identifying opportunities to improve the brand and marketing strategy
