What you’ll do…
- Manage administrative tasks that drive efficiency for the People & Talent team.
- Coordinate day-to-day operations to ensure smooth workflow across departments.
- Assist in the preparation of presentations, reports, and internal communications.
- Coordinate the new hire onboarding experience, from pre-start communications and welcome kits to first-week scheduling, ensuring every new teammate feels connected from day one.
- Plan and facilitate virtual engagement activities for a remote team, such as icebreakers, trivia and Kahoot games, and team celebrations.
- Manage employee recognition and gifting programs, including milestones, anniversaries, holidays, and client appreciation.
- Bring fresh, innovative ideas to elevate the employee experience, from engagement activities to onboarding and recognition programs.
- Design visual assets (event graphics, social posts, internal flyers) using Canva and brand guidelines.
- Maintain and improve internal documentation and processes in Notion.
- Organize and coordinate logistics for conferences and large-scale events, including venue booking, travel arrangements, speaker management, and vendor coordination, to ensure a seamless experience for attendees.
- Collaborate with culture councils to drive engagement through the different Avicado communities.
- Manage Avicado’s LinkedIn and Instagram social medial accounts.
- Sourcing, procuring, and designing Avicado merchandise for various teams across the organization.
You should have
- 2-3 years of experience in an administrative or coordinator role, ideally within human resources, marketing, technology, or related industries.
- Proven ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Experience supporting project planning, scheduling, and managing timelines across teams.
- Experience working with multiple departments (such as HR, Marketing and Technology) and supporting team needs across functions.
- Strong soft skills, including empathy, active listening, emotional intelligence, discretion with confidential information, creativity, and a positive, inclusive attitude that helps a remote team feel connected.
- Strong communication skills to communicate between teams and ensure seamless coordination.
- Attention to detail documenting detailed processes and steps to add to internal knowledge bases.
- Strong organizational, presentation, and interpersonal skills.
Preferred Qualifications
- Comfortable presenting and facilitating in front of large groups, such as company town halls or weekly team events, or eager to build those skills.
