Real Estate Closing Coordinator – Transaction Coordination | Remote, PST Hours

Working Hours: 9:00 AM–6:00 PM PST

About the Role

At Pavago, one of our clients is hiring a Real Estate Closing Coordinator to support high-volume residential real estate transactions from offer through closing.

This is a fast-paced, execution-focused role where you’ll work closely with agents to manage offers, addendums, inspections, transaction documentation, deadlines, and closing coordination.

If you have real estate transaction experience, are highly responsive, and know how to keep multiple deals organized and moving forward, this role is for you.

What You’ll Own

Transaction & Closing Coordination

• Support agents throughout the transaction and closing process

• Assist with drafting offers, purchase agreements, addendums, and transaction documents

• Coordinate inspections and required follow-ups

• Track transaction milestones, deadlines, and closing progress

• Ensure documents and transaction records remain accurate and organized

• Help prevent delays by proactively following up on outstanding items

Agent & Operational Support

• Respond quickly to agent requests throughout the day

• Help agents manage transactions efficiently during high-volume periods

• Coordinate administrative and operational tasks associated with active deals

• Maintain strong responsiveness during PST business hours

Communication & Follow-Up

• Communicate professionally through email, text, and Slack

• Coordinate with agents, clients, and other transaction stakeholders

• Follow up consistently on outstanding documentation and next steps

• Keep relevant parties informed throughout the transaction lifecycle

CRM & Transaction Systems

• Maintain accurate records in CRM and transaction management systems

• Manage documentation and workflows within DocuSign Rooms

• Keep transaction files complete, organized, and accessible

• Maintain accurate internal tracking and status updates

Requirements

• Experience in real estate transaction coordination, closing coordination, real estate operations, or related administrative support

• Familiarity with:

• Offer drafting

• Purchase agreements and addendums

• Inspections

• Transaction timelines

• Closing coordination

• Experience using DocuSign Rooms, CRM systems, Slack, and Google Workspace

• Ability to manage multiple active transactions and deadlines simultaneously

• Excellent written and verbal English communication

• Highly organized with strong attention to detail

• Fast, reliable communication and follow-through

• Comfortable working independently in a remote, fast-paced environment

• Must be available 9:00 AM–6:00 PM PST

• Flexibility for occasional after-hours support when transaction volume requires it

Nice to Have

• Experience supporting U.S.-based residential real estate teams

• High-volume transaction coordination experience

• Startup or fast-growth company experience

• Strong understanding of residential real estate workflows from offer through close
