About the Role

We are building a private talent network of elite Executive Assistants who support founders, clinic owners, and medical practice leaders across the U.S.

These are not entry-level VA roles.

We work exclusively with senior-level Executive Assistants who have experience supporting:

Managing physicians

• Healthcare founders scaling multi-site practices

You will act as a true right-hand partner — protecting leadership time, managing patient- and clinic-facing operations, and serving as a trusted proxy when needed.

Many of our placements grow into Operations Manager or Chief of Staff roles in larger practices.

What You’ll Be Doing

Depending on the client and level, responsibilities may include:

Executive Support & Gatekeeping

Full ownership of inbox and calendar

Priority filtering and decision routing

• Handling communication on behalf of the owner/physician

• Managing confidential and patient-adjacent information

Clinic Operations Support

• Coordinating front-desk, nursing, and admin teams

• Overseeing appointment flows, scheduling blocks, and follow-ups

• Managing vendor relationships (lab services, medical suppliers)

• Supporting multi-site logistics, credentialing timelines, and provider onboarding

• Managing patient or stakeholder communication (where appropriate)

Administrative & Financial Coordination

• Light billing coordination or liaison with billing teams (QuickBooks, practice management systems)

• Invoice tracking and vendor payment follow-ups

• Document management (patient-facing documents, provider contracts, agreements)

• Preparing leadership summaries and operational reports

Execution & Systems

• Turning messy requests into completed deliverables

• Tracking action items, owners, and deadlines

• Improving workflows and creating SOPs for recurring clinical admin processes

• Proactively identifying bottlenecks before they become problems

Who We’re Looking For

Required

• Minimum 5+ years supporting founders, clinic owners, physicians, or healthcare executives

• Direct experience in healthcare, clinics, medical practices, or allied health operations

• Fluent English with a near-native accent

Exceptional written communication

• Strong discretion and judgment (HIPAA-awareness is a plus)

• Comfortable protecting executive time and saying “no” when appropriate

Preferred

• Experience supporting multiple providers or multi-site practices

• Familiarity with practice management / EHR-adjacent tools (scheduling, billing portals)

• Experience working with U.S.-based providers or health systems
